GUIDLINES ON VENUE RENTAL

1. All requests must be in writing and submitted at least 14 days before the scheduled Kindly address the letter to the Social Secretary, Ms. Bianca Cristina C. Zobel of the Social Secretary’s Office.

2. The letter shall state the objective/s of the request and shall be sent thru email at [email protected]. Upon confirmation of the availability of the event date via email by the Social Secretary’s Office, the client shall fill up the venue reservation form which can be scanned using the QR code below:

3. The client shall also submit the following required documents:

    • two (2) recommendations / referrals from any Office of the President (OP) officials
    • event concept paper
    • signed agreement with OP for technical specifications


4. The accomplished venue reservation form, along with the submitted required documents, will be subject for review, assessment and approval of the Social Secretary.


5. Upon approval by the Social Secretary of the reservation form and required documents, the client shall pay the non-refundable reservation fee amounting to PhP 20,000.- either thru cash or bank transfer using the following bank details:

6. Upon payment of the non-refundable reservation fee, an acknowledgment receipt will be issued to the client by our finance officer.

7. The client shall also be required to settle 50% of the full rental fee as down payment to secure the reservation of the venue seven (7) days before the date of the event. The remaining amount from the full rental fee shall be settled immediately on the day of your event through our finance officer.

8. A refundable security deposit amounting to PhP10,000.- shall also be paid by the client on top of the full rental fee.

9. The client shall be notified as to the approval of its reservation by our account officer and a reservation agreement approved and signed by the Social Secretary shall be emailed to the client for review and signature to finalize the said agreement.

10. A client’s coordination meeting and ocular inspection will be set by the Social Secretary’s Office upon approval of the event booking. A short presentation about the event profile, proposed program, proposed layout and design, technical requirements, etc. shall be given by the client to assess the feasibility of the event and address all event-related concerns and clarifications.

11. The client is encouraged to abide by the list of accredited suppliers of the

Social Secretary’s Office for the following event requirements:

  • Caterers
  • Florists
  • Lights and Sounds Tech

Should the client choose a non-accredited service provider or supplier, a thorough screening process and protocol training measures will be required. The approval of said service provider or supplier is to the discretion of the Social Secretary.

12. The Social Secretary’s Office reserves the right to cancel the venue rental booking if the client fails to pay the 50% down payment seven (7) days before the date of the event.

13. The client shall be held responsible for any damages incurred during the event (including egress and ingress).

14. Food catering services are allowed at the designated areas A separate agreement between the Social Secretary’s Office and caterer will be provided.

15. Technical equipment such as light effects and sounds, wirings, stage layout, etc. shall be assessed by the technical personnel of the Social Secretary’s Office for the safety and security of Goldenberg Mansion.

16. A written notice is required for event cancellation to be sent at least three (3) days before the event date. A rescheduled date must also be applied at least three (3) days before the new preferred date, subject to the approval of the Social Secretary’s Office.

17. The Social Secretary’s Office reserves the right to disapprove requests if the objectives of the event are not in line with its own objectives and the causes it supports or if the objectives of the event will compromise its

18. The client shall comply with all local laws and the Goldenberg Mansion rules and regulations.

Please note that currently, the Social Secretary’s Office is following the IATF health and safety directives under the government-prescribed community quarantine and restrictions indicated as follows:

1. Wearing of face masks is optional.

2. Only those who are fully vaccinated are allowed inside Goldenberg Mansion. Proof of full vaccination must be presented upon entry to the premises.

3. Only the names on the guest list submitted by the client beforehand will be allowed entry to Goldenberg Mansion.
